Establish what the sample represents
Confirm whether the sample demonstrates fit, construction, branding or the complete final specification. If a temporary fabric, colour or label is used, record that exception. A sample with substitutions should not be treated as approval of every production detail.
Inspect systematically
Compare the garment against the agreed specification rather than memory. Record measurements, inspect seams and reinforcement, verify logos and labels, and check the requested accessories. Photograph each issue with a ruler or clear reference where useful.
Separate corrections from approval
Create one consolidated revision list. For each item, state the location, observed issue and required change. Ask which changes need a revised sample or other confirmation before proceeding. Keep approval pending until the agreed evidence has been reviewed.
Retain a usable production record
Keep the sample reference, final chart, artwork master, materials, packaging instructions and written approval together. State any approved exceptions explicitly. When the order is repeated, this record gives both sides a concrete starting point.
Put it in writing
| Check | Evidence to keep |
|---|---|
| Measurements | Completed chart with tolerance notes |
| Materials and colour | Agreed specification and sample reference |
| Workmanship | Close-up photographs of critical details |
| Branding | Approved mockup and assembled garment photos |
| Packing | Label text, size breakdown and packing instructions |
